Staff will utilize their browser’s spellcheck functionality, and should only be using either Chrome or Edge when working in KEES.

Consumers using the SSP Portals will see the following updates:
A new stronger password policy will be enforced for the portals.
Appropriate screens in portals will be updated with the new password policy.
Phone Numbers Entered during Registration not Saving – FIXED
The phone numbers entered during person registration will be saved in the Individual Demographics Detail page.
Consumers will not receive an 8100 error while logging into their SSP account.
Reporting Issues to the KEES Help Desk - Reminder
When creating an Incident ticket or submitting an issue to the KEES Help Desk via email, please keep in mind that the KEES Help Desk staff will need to attempt to recreate the issue that is being reported. Therefore, providing sufficient and accurate information will offer the KEES Help Desk Staff a better understanding of the issue being reported, and will result in a timelier response to the user.
Here are some helpful reminders when submitting issues:
The KEES Issue Template should be filled out for ALL issues reported. Please ensure staff are using the updated KEES Issue Templates for both Medical and Non-Medical which can be found on the KEES Repository. If you have an older version of the template saved on your desktop, please remove it, and save the appropriate template.
Please do not save the completed template as a PDF. KEES Issue Templates cannot be copied/pasted into ServiceNow if it is a PDF.
Do not include PII (ie: SSN, DOB, full name) in either the template or any screenshots.
Be descriptive with the Short Description of your issue. This is extremely helpful when we are troubleshooting the numerous tickets reported daily. Try to refrain from using generic descriptions like ‘Incorrect Determination’, ‘EDBC Issue’, ‘Incorrect NOA’, ‘Review Due Date’, etc. The following examples could be used as alternatives: ‘PA should be eligible for CTM, instead of being Denied’, NOA is missing Denial for PA’, ‘Review Due Date did not update after EDBC’, etc.
Be specific when answering the questions on the template. We do understand the frustration that users experience when running into issues and it is our goal to assist the user in overcoming the issue. However, we cannot be helpful when inadequate details are provided.
If you are reporting an incorrect EDBC result, please do not accept and save the EDBC in the hopes that we can correct it later.
Please do not attempt to fix issues or apply your own workaround. Once you’ve identified something is not correct on a case, please submit a ticket to the KEES Help Desk.
New CE Period Change from CHIP to Medicaid
When a child changes from CHIP to a Medicaid program, a new 12-month CE period will be established.
CHIP to PLN.
CHIP to CTM.
PLN to CTM.
KEES will set CE period appropriately when children are moving from one case to another case.
Example: If a child is receiving PLN coverage on case 1, but moves to case 2 and is eligible for CHIP, child will remain on PLN for the remainder of their CE period on case 2.
CHIP Deemed Newborns can move to Medicaid coverage during their CE Period.
Pregnant women receiving CHIP PW coverage can move to Medicaid coverage before or in the month of birth.
If the pregnant person becomes eligible for a Medicaid program during their post-partum period, that individual must continue their CHIP PW for the remainder of the CE period with a $0 premium.
Staff can run EDBC once when approving PW and Deemed Newborn coverage at the same time. The KEES User Manual page of Approving Deemed Newborn and Pregnant Woman at The Same Time will be removed.
Individuals receiving SOBRA medical benefits will have coverage through their SOBRA dates of service span over two months’ time.
Example: SOBRA individual gives birth on 03/31/2025. Their dates of service are 03/31/2025-04/01/2025. KEES will give coverage from 03/31/2025-04/01/2025 with one OPA record.
Child Turned 19 Batch logic will be updated to not discontinue the 19-year-old’s child.
This will cause us to double up on sending out reviews and reviews discontinuance for 1 month.
KDHE Leadership will provide consumers 60 days to complete and return their review. The timeframe given to consumers will occur 2 months before their review is due.
Consumer facing changes:
The KanCare review will be sent to consumer on an earlier schedule.
ProComms timeline has been adjusted for conversations to be sent on an earlier schedule. Refer to the calendar on the KEES Repository.
The Reviews link in the Medical SSP appears for the consumer once the Medical Review Type Determination Batch runs.
KEES Changes
The Medical Review Type Determination Batch will run on an earlier schedule.
KEES has updated the Medical No Touch logic for updating customer reporting records to account for the earlier review schedule.
The Review Month + 1 will be available on the Run EDBC page in the benefit month dropdown.
Warnings will display on the Run EDBC page to help staff process the correct EDBC month.
The below error displays when workers received the review and are processing a change before processing the review. The RE run reason will not be available if this error appears. This is a soft warning.

When Running EDBC to process a Review and the Benefit Month is the Review Month + 1, but the incorrect program is selected, the following Hard Warning displays:

Changes made to the Run EDBC page were made to the Negative Action Detail page.
The default To field on the EDBC List page will no longer auto-generate the date.
The table below displays the adjusted review schedule for the agency.
Please note that reviews due in May and June will be sent in April 2025 and the Reviews Discontinuance Batch will run in June 2025. Moving forward, the Medical Review Type Determination Batch will run roughly two months before the review due month and the Review Discontinuance Batch will run timely.

Reminder- Important information regarding changes to processes is communicated in the KEES Dispatch.
No-Touch will no longer add prior medical months to the individual in the months before birth.
No-Touch will no longer add prior medical months to every person that is applying. Only applicants requesting prior medical coverage will have the prior medical months added.
KEES will now determine a new postpartum CE period when a new pregnancy is reported within their existing postpartum CE period.
KEES will not give a 12-month CE period to an individual being added to an existing TMD determination.
The due date on V777 form is now bolded.
KanCare is now spelled correctly on the KC-1200 Review form.
The 1700 error will no longer occur when approving EDBC on the PE Program Block.
The Medical Person Detail page will display the most recent Role Reason.
The Request for Coverage task will now feed into CURRENT.
Multi-Month EDBC will no longer produce a blank determination.
KEES will now build a CE budget for non-MAGI children with LTC details.
The Process Change task will route to the correct queue.

Running EDBC Hard Warning
The Medical Reviews batch for May and June reviews is being ran earlier due to the 60-day review policy change. The batch will run on 3/28/25 for May reviews and 4/11/25 for June reviews. Click here for the updated Processing Deadlines reflecting these changes. These changes will also be added to the KEES Repository shortly.
The KanCare Proactive Communication Schedule is available on the KEES Repository under KDHE Communications. The calendar was updated on 03/17/2025 to include the new schedule to account for KanCare reviews being sent out on an earlier schedule. Calendar is available from 09/2024 through 08/2025.
KEES is now in alignment with policy for students in high school / high school completion / GED that are 18 years old up to and including the month they turn 19 and will now show as Work Eligible Exempt at EDBC. Students in Vocational Education at least half time will also show as Work Eligible Exempt at EDBC.
When a change request is submitted through the Self-Service Portal (SSP) it will now generate a task by the name of Change request and will show under the Admin Queue with a source of Non-Med SSP. These tasks can now be added to the tracker to be processed.
When a document is uploaded through the SSP it will now generate a task by the name of SSP Uploaded Document and will show under the Admin Queue with a source of Non-Med SSP. These tasks can now be added to the tracker to be processed.
With this KEES Release, consumers will no longer be able to submit an application without a program being selected.
EBT Cancelling Benefit when Running Immediate Issuance for TANF when there is a Protective Payee – FIXED
This has been fixed with this release. Staff should still ensure there is a protective payee in EBT before making the change in KEES.
Spanish SSP Applications Missing Signature – FIXED
The reported issue of the PDF of an e-application missing a signature when the PDF is in Spanish has been fixed.
BOT Registering a New Case Instead of Using an Existing Case Number – FIXED
The reported issue of the Registration BOT creating a new case when an existing case number should be used has been fixed.
LIEAP SSP Applications not Mapping in Language Correctly – FIXED
This issue has been fixed.
Receiving an Error Message Specific to SUN Bucks when Running Negative Action for Food Assistance – FIXED
This issue has been fixed.
FAET Task did not Generate for a Non-ABAWD – FIXED
