KDHE Processing Deadlines for FY 2025 has been updated and can be found on the KEES Repository under Other Helpful Information.
KEES has been designed to automatically send the P501 (Provider Notice: Plan Ended) in certain circumstances. The P501 automatically generates when the Family Plan Data Alignment Batch picks up a Child Care Program. But in order for the batch to pick up a discontinued Child Care Program, the worker should only shorten the Family Plan, not the Child Care plan. The worker should take the following steps:
Shorten the Family Plan End Date to the appropriate date.
Select the appropriate Change Reason to populate the NOA correctly.
Update the Benefit Month dropdown to the month you are wanting to update and Calculate the Family Benefit Schedule.
Save the Plan. A soft warning will display that says Error! All Child Care Plans must fall within the dates of the Family Plan.
Save again and run EDBC.
The Family Plan Data Alignment Batch runs nightly and picks up discontinued CC Programs:
For Child Care Programs that are discontinued:
The batch ends the Family Plan the day before the EDBC benefit month.
For Child Care Plans that extend past a Family Plan End Date:
The batch ends the Child Care Plan the same date as the Family Plan End Date and deletes the removed months from the Approved Hours and Benefit Hours table.
The batch then sends the P501: Provider Notice- Plan Ended. If the worker shortens the Child Care Plan, the P501 must be manually generated.
In addition, if the Need for Care Schedule extends past the Child Care Plan End Date:
The batch deletes any schedules that start after the Child Care Plan End Date.
Or, the batch end dates the schedules to match the Child Care Plan End Date.
