Duplicate ID Reminder

When potential Duplicate IDs are discovered, a KEES Help Desk ticket should be submitted. The KEES Help Desk will determine which ID should be the Primary ID for KEES and will link the duplicates appropriately.

It is NEVER appropriate to change a consumer’s name in KEES as a way of identifying a Duplicate ID, nor should Social Security Numbers be removed.

The Client IDs in MPI are shared across multiple systems.

The Primary Client ID for KEES may not be the Primary Client ID for Child Support or FACTS.

 

Example: Bob Smith has Duplicate IDs that exist in KEES.

The Primary Client ID for KEES is 0001110101 and the Secondary Client ID for KEES is 0002220202.

However, 0002220202 is the Primary Client ID for FACTS.

If staff update Bob’s demographic information on Client ID 0002220202, it directly impacts FACTS.

Example: Staff updated Bob’s name to include “Do not use DUPLICATE” and deleted the SSN.

This type of action is inappropriate and should not be done.

 

Medical Programs

Processing Newborns

Eligibility staff need to ensure that newborns are in high-dated Pending status before benefits are approved. To check this, simply click on the newborn’s name hyperlink within the Program Block. This will display the Medical Person History page. If the newborn switches from Pending to Denied status, STOP. Submit an Incident ticket to the KEES Help Desk so that we may fix the issue for you. If benefits are approved before submitting to the KEES Help Desk, a data fix must be done to correct the issue.  A data fix will typically add at minimum an additional week to the processing time and utilizes valuable resources that could be spent working on something else.
