Non-Medical Programs Only

Child Care when Child is in Foster Care:

KEES is incorrectly denying child care for children in relative placement Foster Care. If you receive one of these cases, please send it to the KEES Help Desk for further instruction.

EBT Payments Monitoring Batch for Child Care:

The EBT Payments Monitoring batch which ran last Thursday, 9/7 addressed more cases than necessary. This inadvertently closed some CC cases and providers in error. Closure notices would have been generated to the client and provider last Thursday, 9/7. The population impacted in error is related to the rule of CC case closure if payments have not been made to the provider for the past two consecutive months.

 

Searching for e-Applications in ImageNow:

The Images button does not appear on Application-Registration tasks created from an SSP application. Until this is fixed, please search for the e-application documents in ImageNow.

 

Non-Medical Workarounds:

Child Support – Arrearages Paid to Client

KEES is not correctly counting the Income Type of Child Support – Arrearages Paid to Client in the TANF budget. Until this is fixed, use the Income Type of Child Support – Voluntary Payments.

 

  1. Select Non-Medical from the Program Type drop-down menu.
  2. Select Child/Spousal Support from Income Category drop-down menu.
  3. Click the Add button.
  4. Select the Name of the consumer receiving the income from the drop-down menu.
  5. Select the Voluntary Payments from the Type drop-down menu.
  6. Select Once a Month from the Frequency drop-down menu.
  7. Enter the First and Last Name of the person paying the support in the Person Paying Name text box.
  8. In the Descriptions box, type Child Support – Arrearage Paid to Client WA.
  9. In the Income Amounts section, select Non-Medical from the Display by Program Type drop-down menu. The Add button dynamically displays.
  10. Click the Add button. The Income Amount Detail page displays.
  1. In the Average Calculator, enter the Date Received using the <mm/dd/yyyy> format or the calendar icon.
  2. Enter the Amount of child/spousal support received.
  3. For the Count in Average column, if any amounts are not representative and should not be included in the calculation select No from the drop-down menu. Otherwise, leave the value defaulted to Yes.
  4. To record multiple support amounts, click the Add button to create an additional support value in the Average Calculator.
  5. Select 3 from the Divisor drop-down menu to indicate that the average is based on the 3 months of payments entered.
  6. When all payment/check amounts have been entered, click the Calculate button.
  7. Click the Use button. The calculated income amount populates in the Reported Amount field.
  8. Enter the Begin Date using the <mm/dd/yyyy> format or the calendar icon. This date is the first day of the application month unless the first payment was received within that month.
  9. Select a Verified value from the drop-down menu.
  10. Select the Source for the verification from the drop-down menu.
  11. Click the Save and Return button. The Income Detail page displays.

 

Issuing Work Programs Payments for Consumers in Transitional Status

KEES is not currently allowing staff to issue Supportive Service Payments or Provider Payments for Consumers with a Work Programs program block in Transitional Status.

  1. Update the Work Programs program block status to Active.
  2. Create and Approve the Payment
  3. Leave the program block in Active status overnight until the payment is issued.
  4. Update the Work Programs program block status to Transitional.
  5. Because we have altered the status on the program block, these cases need to be tracked manually. To do this, create a manual task as a reminder to discontinue these cases manually at the end of the 12 month transitional period. Select Work Programs as the queue, Follow Up Needed as the task name, and assign the task to the worker assigned to the Work Programs program block.

Foster Care Medical Programs Only

Converted Adoption Subsidy cases

During conversion Adoption Subsidy programs were converted from KAECSES with the KAECSES case number. These did not match the KEES Medical case numbers.  Because of the conversion process, children who had Active Adoption Subsidy cases have two PPS cases in KEES: one case with Foster Care and Medical and another case with Adoption Assistance.

 

If the Adoption is in the Pre-finalization stage:

 

If the Adoption case has been finalized and Foster Care is Discontinued:

  1. Verify the Client ID on the Foster Care Case matches the Client ID on the Adoption Assistance case.
  1. Discontinue the Medical program on the Foster Care case number using the last day of the current Benefit Month by Running EDBC for the following month.
  2. If the Foster Care program block shows an Active Status, complete Negative Action on the Foster Care program block prior to running EDBC to Discontinue the Medical Program block.
  3. Add a Medical program block to the Adoption Subsidy case:
