Adding a PPS Resource

Requests to add a Psychiatric Residential Treatment Facility (PRTF) or an HCBS resource to the Resource Databank (RDB) must be sent to the Clearinghouse. See Requesting an Addition to the Resource Databank for the manual, external process.

Licensed Foster Home resources will be loaded into the Foster Care RDB through an interface with CLARIS. Any resources paid through the SMART system will be loaded into the general RDB through an interface with SMART. PPS Payees are added through SMART Interface.

PPS Eligibility staff can make additions directly to the Foster Care RDB for resources needed to establish the Administrative Roles of Placement Provider including unlicensed placement providers such as relative placements, AWOL, Case Management Agency, and non-relative placements.

  1. Click Resource Databank on the Global Navigation bar. The Resource Search page displays.

  2. Click Foster Care on the Local Navigation bar. The Foster Care Resource Search page displays with Foster Care as the default Category.

  3. Enter known information.

  4. Click the Search button. Confirm the Foster Care Resource Search page displays with “No Data Found”.

  5. Click the Add Resource button. The Foster Care Resource Detail page displays.

  6. In the Basic Information section, complete the mandatory fields.

    NOTE:  The legal first and last names of foster and adoptive parents should be entered, e.g. Thomas Jones and Sandra Jones not Tom and Sandy Jones.  For a licensed foster parent, the user should check how the parent is listed in CLARIS.

  7. In the Address section, click the Add Address button. The Address Detail page displays.

  8. Multi-select Mailing and Physical from the Address Type(s) menu if they are the same address for the Provider. If they are different, select them individually and complete Steps 7-11 for each type.

  9. Complete the mandatory fields for the address then click the Submit button. The Select Address page displays.

  10. Click the radio button for the Normalized Address if not already selected.

  11. Click the Select button. The Foster Care Resource Detail page displays.

  12. In the Phone Information section, complete the known information. The Add button does NOT need to be clicked for the first line of information.

  13. Select Active from the Status drop-down menu.

  14. Enter the date the provider is approved to start services in the Begin Date in <mm/dd/yyyy> format or use the calendar icon.

  15. Complete the mandatory information in the remaining sections.

  16. Click the Select button under Worker ID. The Select Worker page displays.

  17. Enter the search information and click the Search button. The Select Worker page displays with search results.

  18. Click the radio button next to the appropriate worker’s name.

  19. Click the Select button. The Foster Care Resource Detail page displays with the selected Worker ID.

  20. Click the Save button. The Foster Care Resource Detail page displays.

  21. Click the Close button. The Foster Care Resource Detail page displays.
