File Clearance and Registration Warning Messages

When registering a case or program, the user may receive a “warning” message when trying to complete an action. There are two types of Registration warnings: Soft Warnings and Hard Warnings.

 

Soft Warning:

A soft warning alerts the user to review the case to ensure that the data used is correct and the action taken is appropriate. Examples of soft warnings:

·         Warning: Error! You have chosen to reapply. An application already exists for the same month and year, are you sure you want to reapply?

Action Needed:Determine if reapply is the action needed for this program:

o   If yes, click Save and Return to continue the reapply process.

o   If no, click Cancel and see Rescind Program for information on the correct steps to take.

·         Warning: Warning! Your new pending month will be <effective date>. Are you sure you want to rescind? This cannot be undone.

Action Needed: Determine if the effective date is in line with the Rescind Reason chosen (1st Mo. Ineligible or 2nd Mo. Ineligible):

o   If yes, click Save and Return to continue rescinding the program block.

o If no, click Cancel and determine the correct action to take.

·         Warning: Warning! You may be removing someone who is a mandatory household member. Remember to check household status before proceeding.

Action Needed: Determine if you should continue with Negative Action or if other action is needed.

  Warning: Warning! Food Assistance discontinued for failure to provide an IR or 12-month report. Check to see if you need to use Rescind instead of Reapply.

Action Needed: Determine if the form submitted is a Late IR/12-month Report and if the household is eligible for uninterrupted benefits, see Processing a Late Review or IR for more information:

Hard Warning:

A hard warning requires the user to review and update the case data or take a different action. Hard warnings do not allow the user to move on until the issue is resolved. Examples of hard warnings:

·         Warning: Error! An application for this date already exists, please rescind the existing application.

·         Warning:Error! The application date cannot be more than six months prior to the current date.

Action Needed: If the date entered is correct, contact the KEES Help Desk for assistance registering the application. Otherwise enter the correct application date.

·         Warning: Application Date - The Application Date cannot be more than six months prior to the current date.

·         Warning:Error! BDA – The BDA cannot be moved before an Active month.

Action Needed: Enter the correct Beginning Date of Aid or cancel to determine correct action to take.

·          Warning: Error! BDA – Beginning Date of Aid and Application Date must be in the same month and year for at least one person when creating a new program.

Action Needed: Enter the Beginning Date of Aid ensuring it is within the same month and year as the Application Date.

·         Warning: Error! BDA – Beginning Date of Aid cannot be set to a month greater than the come-up month.

Action Needed: Enter the correct Beginning Date of Aid ensuring it isn’t past the come-up month.

·         Warning: Beginning Date of Aid – Beginning Date of Aid cannot be a month greater than the come-up month.

Action Needed: Enter the correct Beginning Date of Aid ensuring it isn’t past the come-up month.

·         Warning: Error! Beginning Date of Aid cannot be a month greater than the come-up month.

Action Needed: Enter the correct Beginning Date of Aid ensuring it isn’t past the come-up month.

·         Warning: Beginning Date of Aid – The month of BDA must not precede the month of Application Date.

Action Needed: Ensure the Beginning Date of Aid is not earlier than the Application Month.

·         Warning: Error! BDA – View Date must be changed to match the Beginning Date of Aid.

Action Needed: Determine if the Beginning Date of Aid entered is correct.

o   If yes, click the Cancel button to return to the Case Summary page. Enter the Beginning Date of Aid in the Display field then click the View button. Now you can continue the process to Add/Reapply the person(s) or program.

o   If no, enter the correct Beginning Date of Aid then continue processing.

·         Warning: Error! The program/person cannot be rescinded to a month greater than the come-up month.

Action Needed: Determine if the correct Rescind Reason was selected.

o   If yes, follow BPM guidelines for creating a Purple Future Processing task in the Alert Queue.

o   If no, select the correct Rescind Reason from the drop-down menu to proceed.

·         Warning: Error! ‘P-EBT Closed’ Sub-Type cannot be Rescinded.

Action Needed: Click Cancel to navigate back to the Case Summary page. Determine if a program with the correct Sub-Type exists:

o   If yes, Rescind the correct program block.

o   If No, see Add New Program for steps on adding the appropriate program block.

·         Warning: Error! ‘P-EBT Closed’ Sub-Type cannot be Reapplied.

Action Needed: Click Cancel to navigate back to the Case Summary page. Determine if a program with the correct Sub-Type exists:

o   If yes, Reapply the correct program block.

o   If No, see Add New Program for steps on adding the appropriate program block.

·         Warning: Error! ‘P-EBT Closed’ Sub-Type cannot be Added to.

Action Needed: Click Cancel to navigate back to the Case Summary page. See Add New Program for steps on adding the appropriate program block.
