Modify Existing Income - PPS

PPS staff will only modify income if the child is already in Long Term Care (LTC) or receiving Home and Community Based Services (HCBS).  If the child has child support or social security, it would be recorded on the Income page.  For a child in custody, an amount of $0.00 is needed.  Should the child be returned home, released of custody and still needing the services, we would want the income history record to still be available on the page.

To Modify Existing Income

  1. Enter the Case Number in the Task Navigation Bar and click Go.  The Case Summary page displays.

  2. Select Eligibility from Global Navigation. Select Customer Information from Local Navigation.  The Contact Summary page displays. Click the + (plus sign) next to Financial from Task Navigation.  The list expands.

  3. Click the Income link.  The Income List page displays.

  4. Click the Edit button for the income to be changed.  The Income List page re-displays with edit capabilities.

  5. Click the Display Program drop-down menu in the Income Amounts section.

  6. Select the same value as displayed on the most recent income record.

    NOTE:  All is the defaulted Display Program in the Income Amounts section.  Select a specific program.

  7. Click the Add button.  The Income Amount Detail page displays.

    NOTE:  The Add button must be used in an effort to keep accurate income history.  Using the Edit button will change the existing income and not keep a historical record.  This should only be used when the user is modifying the Income Amount as a result of an entry error.

  8. Enter $0 in the Reported Amount field.

    NOTE:  The goal is to retain the previous income records as history and create an active record with no dollar amount while the child is in custody.

  9. Enter the first day of the first month the child enters care in Begin Date using the <mm/dd/yyyy> format or use the calendar icon.

  10. Select Verified from the Verified drop-down menu.

  11. Select the appropriate value from the Source drop-down menu.

  12. Click the Save and Return button.  The Effective Dating Confirmation List page.

    NOTE:  The Effective Dating Confirmation List page displays Begin and End dates for any previous records and the Begin Date for the new income information.

  13. Click the Save button.  The Income Detail page displays.

  14. Review the page for accuracy then click the Save and Return button.  The Income List page displays.

  15. Click the Run EDBC link from Task Navigation.  The Run EDBC page displays.

  16. Select the month the service ends from the Benefit Month drop-down menu.

  17. Select the check box for Medical program.

  18. Click the Run EDBC button.  The EDBC List page displays with Run Status of ‘Not Accepted’.

  19. Click the Medical hyperlink for the benefit month to run.  The Medical EDBC Summary page displays.

  20. Click the Foster Care Medical hyperlink.  The Requested Medical EDBC – Foster Care Medical page displays.

  21. Review to ensure income is $0.00.  Click the Close button.  The Medical EDBC Summary page displays.

  22. Click the Accept button.  The EDBC List page displays.

  23. Click the Save and Continue button.  The Case Summary page displays.

  24. Select Journal from Utility Navigation.  Record a Journal entry of the actions taken on the case.  See Journal for more information about journaling functionality.
