Task Management – FCCC

A task captures and assigns a need for specific program action to a work queue. Tasks can be created manually by a user or automatically by KEES.

Tasks can be viewed from the:

NOTE: Task windows, such as Task Management and Manual Task, do not automatically refresh. A user must exit out of the window and navigate back to the window to verify the updated information.

Setting Default Task Search Criteria - FCCC

  1. Click the View All button in the Task Portlet from the KEES home page.  The Task Inventory page displays.
  2. Click the Default Filter button. The Manage Filter page displays.
  3. Select the desired criteria from the fields; including FCCC from the Queue field.

NOTE: The user can set as many or as few filters as needed.

NOTE: To clear all selected search criteria, click the Clear Filter button.

Click the Save and Return button. The Task Inventory page displays with default criteria selected.

Task Inventory Searching and Claiming a Task – FCCC

1.    Click the View All button in the Task Portlet from the KEES home page.  The Task Inventory page displays.

NOTE: If the user has set default search criteria, those values display as selected. For steps on setting user specific search criteria, see Setting Default Task Search Criteria.

  1. Select a tab to complete your search on:
  1. Apply additional filters as needed to search for FCCC tasks.

·         Select Region and Location

·         Queue FCCC

  1. Click the Search button. A list of tasks fitting the search criteria displays. The search results may be sorted using the carets associated to each listed result. Only one column can be sorted at a time.

NOTE: To perform a new search with different criteria, click the caret for Refine Your Search.

  1. Check the box associated to the task to be claimed, then click the Claim button.
  2. Navigate to the KEES home page and verify the task displays in the Task Portlet.
  3. Click the Task hyperlink in the Task Portlet.  The Task Details window opens.
  4. Review the task information, including any images, then close the Task Details window. 

NOTE:  Utilize the Images button on the task to view images associated to the task. End-users must be signed into ImageNow.  

  1. Now that the task(s) has been claimed and reviewed, proceed with the workflow needed for the task(s).

Claiming a Case Task - FCCC

From the Case Summary page:

  1. Select Tasks from Utility Navigation. The Task Management window opens and displays all task associated to the case.
  2. Click the Task Name hyperlink. The Task Details window displays.
  3. Review the task information, including any images, then close the Task Details window.

NOTE:  Utilize the Images button on the task to see if there are any images associated to the task. End-users must be signed into ImageNow.

  1. Navigate to the KEES home page and verify the task displays in the Task Portlet.

NOTE: Any additional tasks associated to the same case and in the FCCC Queue are automatically claimed and assigned to the user. 

  1. Now that the task(s) has been claimed and reviewed, proceed with the workflow needed for the task(s).

Completing a Task - FCCC

Completing a task updates the task status and may create an additional downstream task(s) for the appropriate line of business.

To Complete a Task:

  1. From the KEES home page, go to the Task Portlet and click the hyperlink for the task name. The Task Details window opens.
  2. Select a Status Reason from the drop-down menu.
  3. Click the Complete button.
  4. If multiple tasks exist for the same case, repeat STEP 1 – STEP 3 for all completed tasks.
  5. View the Task Portlet from the KEES home page to make sure the tasks assigned to the user have been completed.

NOTE: The KEES home page may need to be refreshed if a task still displays in the Task Portlet after updating the task Status Reason.

Voiding a Task - KEES Case

Complete Claiming a Case Task – FCCC steps prior to completing these steps. Voiding a task should only be done under instruction of the FCCC supervisor.

From the Case Summary page:

  1. Select Tasks from Utility Navigation. The Task Management window opens.
  2. Click the Void button for the task the user wants to void. The task no longer displays in the Task Management window.
Close the Task Management window.
