Medical Processing Deadlines   

KDHE Processing Deadlines for FY 2025 has been updated and can be found on the KEES Repository under Other Helpful Information.

 

 

Non-Medical Programs

 

Pending Verifications - Reminder

When a request form for needed verifications is sent (i.e.,  V003) you must also set a pending verification record on the Verification List page.  A V000 should also be sent for any requests.  If you fail to set a pending verification record, KEES will not be triggered to generate a Verification not received task so the appropriate action can be taken on the case.

 

Child Care Applications – Reminder

An interview is NOT required when processing a Child Care application even when Child Care is applied for with TANF and/or Food Assistance.  Workers should attempt to reach clients for needed information by phone.  If the cold call is unsuccessful, complete the Verification List page with all application pending verification records and send the V000 More Information Needed form.

 

Journaling vs. Action taken - Reminder

Remember to complete case documentation AFTER case action is taken. Staff working the DCF hotlist report are finding numerous instances of staff journaling that they have ran EDBC and sent a notice when EDBC was never ran.  Similarly, there have been instances of journaling that interview notices or request for information notice was sent when they had not been. Following the order indicated on the BPM Script and Documentation Templates will ensure this doesn’t occur.

 

Customer Schedule - Reminder

When scheduling a future interview, it is important to select Scheduled in the Attendance field before sending an interview notice.  When Completed is selected the program will not automatically be denied for missed interview.  If you have already started an interview and entered Completed on the Customer Appointment Detail page it is important to change your selection to Scheduled if the interview was not completed and a notice is being sent to the client.

The DCF Processing Deadlines – Year 2024 have been updated, and can be found on the DCF Intranet under Policy and Procedures and in the KEES Non-Medical User Manual.
