Due to various issues staff are experiencing when registering all e-Applications, person searching to locate a usable case number prior to e-linking is recommended.
When KEES automatically file clears someone, a couple of issues may occur. Auto File Clearance was not able to find the person that is known to KEES, and created a Duplicate ID. The other scenario that could occur is that Auto File Clearance selects an incorrect Client ID. Both of these issues can be easily identified when staff reach the Previous Case List page during the eLinking process. If the already identified usable case number is not presented on this page, then one of the two issues above may have occurred. If either of these situations occur, staff should report this to the KEES Help Desk. We are actively trying to understand what is causing these scenarios and will be providing guidance in the future on how staff should handle these when encountered
Final KDHE Processing Deadlines - Fiscal Year 2021 has been updated and can be found on the KEES Repository under Other Helpful Information.
When registering a Child Care application, KEES requires the Document Provided Date to be entered on the Child Care Detail page. Staff can enter the application date or any date after the application date to bypass the required field. Not entering a date will result in the following validation message: Error! Documents Provided Date – Field is required.
Reminder: When linking an e-Application (SSP application) to an existing case, the linking process does not add new Program Blocks to the existing case. Registration staff need to add the new Program Block to the case after the linking process is complete.
Addresses for children in Foster Care should not be updated. Case Management Provider addresses for children in Foster Care are listed below and are indicated as the child’s address on the Contact Summary page. When in question, it is okay to leave a child’s address as is on the Contact Summary page during the registration process. This allows Eligibility Staff to complete data acceptance or add a new address for the child as appropriate when processing the application.
