There have been several reports of DODs in KEES that are being removed from KMMS when the monthly file runs due to benefits in KEES not being discontinued due to Date of Death. Staff need to ensure all active months following the Date of Death are closed. Downstream impacts to these cases not being closed down properly include negative fiscal impacts to Medical and Non-Medical members. Both KMMS staff and KEES staff are continuously having to work through these on Error Files and the volume continues to rise. When making changes to a deceased consumer’s case, it is NOT necessary to remove the Date of Death (DOD) or rescind the program block. Removing the DOD or rescinding the program block can cause billing issues for both KMMS and EBT (if the consumer had Non-Medical benefits). For example: a consumer Active on SI Medical was Discontinued due to death with a DOD of 5/13/2023. EDBC was ran on 5/18/2023 for the come-up month of 6/23 to close the coverage. On 5/20/2023, a 2126 is received for a Nursing Facility (NF) stay from 4/12/2023-5/10/2023. Staff will need to update the Household Status record for the deceased member to In the Home, then run EDBC and Approve the NF coverage for 04/2023 and 05/2023 without removing the DOD or rescinding the program block. Additionally, because there is a DOD already entered and verified in KEES, the Level of Care (LOC) will automatically end-date for the DOD in KMMS. The end-dated LOC will not be something staff will be able view in KEES.
When staff discontinue benefits due to death, the decedent must be given a new Household Status of Permanently Out of the Home so that they do not show up on reviews. Staff must also review the case for additional actions related to the death that may be needed when a consumer is deceased, and other case members have active coverage. The deceased individual may have been the case head and/or responsible party for a dependent. Ensure any needed changes that impact the determination are addressed. If the deceased is the only one on the case, EDBC must be run in the come-up month to close the case. If there are other active members on the case, EDBC must be run for the current month through the come-up month. See Discontinuing Benefits Due to Death in the KEES User Manual.
The KMMS file has been updated so that when a date of death is added and verified in KEES for a deceased member who received coverage in the past, the date of death information will send to KMMS even if the member is no longer Active on the case in KEES. If the date of death that is added is under 6 months old, it will update to KMMS the next day. If the date of death is over 6 months old, it will error out on the KMMS file and KDHE Systems Staff will add it to KMMS manually.

The KEES Help Desk has received a few reports that staff are getting an 8200 Error at the end of the linking process. It appears that the e-Application does still successfully link to the case. Please continue to report instances of this while we investigate the issue.
It appears that the last digit of the Office Fax Number disappears from the ES-3114 Food Assistance Interim Report Form and the ES-3115 Food Assistance 12 Month Report Form once they are printed. We are working on a fix for this issue and will let you know once it has been resolved. It is no longer necessary to submit additional tickets to the KEES Help Desk.
KEES Help Desk is receiving reports of the FSD calculating as $0 in error. The worker should verify what the FSD could be using the Monthly Family Income and Family Share Deduction Schedule for Child Care Services chart (F-1). As a workaround the worker can override the Family Plan to show the correct FSD.
