There was an issue with how a population of specific forms generated on Friday, 8/23/19 that caused a delay in the forms being mailed to clients. The impacted forms that request information from clients include:
V000: More Information Needed
V003: Employment Verification
V301: Interview Notification
ES-3105.1: Request for Information
These forms were regenerated Tuesday night and mailed out to clients on Wednesday. Staff need to be aware of the following:
The V000, V003, and ES-3105.1 forms have the due date listed as 10 days from 8/23/19 because that is the date the form was originally generated by staff.
The Verification Not Received task will generate based on the due date listed as 10 days from 8/23/19.
No additional processes need to be taken regarding the due date and process in which staff deny/discontinue a case for failure to provide. This is because the due date falls after the holiday weekend and first of the month when staff are not able to work tasks same day due to volume of work coming in.
All staff, including front desk staff and customer service staff, should be aware of the delayed mailing. There could be an increase in client inquiries since the forms reflect the original creation and due dates.
Reviews and IRs were also impacted in the mailings from Friday 8/23. Those have been regenerated as of 8/28/2019. IRs generated with a due date of 9/7/2019, the IR Reminder Batch will run as scheduled for 9/9/2019.
The income limit within the Reporting Requirements has not been updated with the 2019 -2020 Food Assistance Standards. This issue will be fixed as soon as possible. Tickets no longer need to be submitted to the KEES Help Desk.
