Consumers can request Account Linking from the ACSSP as part of the registration process.
Once a customer submits a request to Link a Case or Case(s), the Case Linking/Delinking Bot processes the request. If the Bot is unable to complete processing, a Rejected Medical Case Linking Request task is generated along with a journal entry for the case. The KEES worker reviews the task and journal entry to determine if they should complete the steps for Manually Linking an SSP Account.
Once submitted from the SSP, Account Linking requests are submitted to KEES and a task is generated that can be accessed via the Task Inventory page. A link request can fall-out due to one of the four reasons:
Casehead has a household status of ‘Added in Error’, ‘Temporarily Out of the Home’, or ‘Permanently Out of the Home’.
Example: The Rejected Medical Case Linking Request task was received for a casehead that is listed as Permanently Out of the Home. The eligibility staff should research the case journal or contract logs to determine if the link request should be rejected.
Applicant is under the age of 19.
Example: The Rejected Medical Case Linking Request task was received for an 18-year-old. Due to the applicant being considered a Medicaid/CHIP Child, the individual cannot link to their own case in KEES. Eligibility staff should reject the task. This is also the case for every child under the age of 18.
The individual submitting the link request is not the casehead.
Example: The Rejected Medical Case Linking Request task was received for a case member not being the casehead, the eligibility staff needs to confirm the name being used is not the casehead’s alias within the case. If the casehead’s alias is confirmed, link the request to the case. Other members, including the spouse, on the case cannot be linked.
Example: The Rejected Medical Case Linking Request task was received for a case member not related to the casehead. This would include parents that aren’t married with a mutual child. The eligibility staff would reject the link request to the case.
Example: The Rejected Medical Case Linking Request task was received from an authorized representative (medical representative, facilitator). The eligibility staff would reject the link request to the case.
The casehead’s case has been denied or discontinued longer than 90 days.
Example: The Rejected Medical Case Linking Request task was received for a case that has been closed for more than 90 days. The eligibility staff would reject the link request to the case.
NOTE: If you are working a Rejected Medical Case Linking Request task that has a closed Medical Program block, but has active DCF coverage (Food Assistance, TANF, Child Care, LIEAP) send an email to kdhe.EligibilityBAs@ks.gov with “Rejected Medical Case Linking Request with DCF coverage” as the subject. The body of the email needs to contain the case number the task is assigned to. The task needs to be left in an open status, DCF will complete the task after they research further on their case.
Sign into the KEES Homepage.
In the My Work portlet, click the View All button. The Task Inventory page displays.
Select and/or enter desired search criteria from the appropriate fields.
Click the Search button. The Search Results Summary list displays at the bottom of the page.
Claim the Rejected Medical Case Linking Request task and open the Task Details.
NOTE: The worker may need to navigate to the case to read the Journal entry on why the Case Linking/Delinking Bot was unable to complete the linking process.
Click the Review Recipient Data hyperlink in the Task Details. The Link Request Summary page displays.
A worker completes the Account Linking process via the Link Request Summary page. The Link Request Summary page allows a worker to view detailed information about the SSP account holder, Case information submitted from SSP, Person Information, as well as Account Linking Information.
If the SSP Account Holder has not been linked to any other KEES Case Numbers, the ABMS Person Information block appears blank.
In the ABMS Person Information block, click the Search button. The Person Search page displays.
Update any of the search fields if needed then click the Search button. The Search Results Summary displays.
Use the Case Number hyperlink if needed to view more information about the people on the case.
Click the radio button for the desired person then click the Select button. The Link Request Summary page displays with the ABMS Person Information and Account Linking Information blocks populated.
NOTE: If for any reason you need to stop the Account Linking process, click the Cancel button. Do NOT click the Reject button because the Account Linking request will be lost. If you do click the Reject button and need to find a request, use the ACSSP Registration Search page to search for the Registration Status of Rejected link requests.
Compare the Account Information and Request Case Information blocks to the ABMS Person Information and Account Linking Information blocks to make sure the information matches. Use the Case Number hyperlink if needed to view more detailed information on the case.
NOTE: Reject the SSP Link Request if the person is not In the Home or if there is not an Active or Pending program block on the case.
In the Account Linking Information block select the checkbox for the case to be linked.
Click the Link button. The Link Confirmation Summary page displays.
NOTE: The case number is a link under the Case Number heading and Processed is static text under the Status heading.
When the Account Linking Process is complete return to the Task, update the Status Reason then click the Complete button.
