If the worker does the search and they don’t claim the Admin task then it would still pop up?
Yes, The Registration task associated with the e-Application still exists. Once the e-Application has been linked to the case the task automatically associated to the case as well. Within the context of the case, the end user can select Tasks from Utility Navigation to access all tasks associated to the case. They should claim and complete the task(s) as appropriate.
Please note that completing the Registration task creates a downstream processing task for the EES Eligibility Worker. If registration and case processing are completed by an EES Eligibility Worker, they need to be sure to claim both tasks.
If you don’t complete data acceptance can you still run EDBC?
Yes. EDBC can be run without acting on the information that was mapped in from the SSP. However, none of the information on those records will be considered in the budget.
On the shared pages, when information is sent in for both KDHE and DCF who will get that information? If they send it for KDHE but DCF needs it as well will the system alert us and vice versa?
For shared pages the New indicators for the records display on both cases until the record is acted on. If the change is reported via the SSP to both agencies it may create duplicate records. An agency only receives a task for information reported via their designated SSP; meaning DCF only receives tasks for information reported in the Non-Medical SSP and KDHE only receives tasks for information reported via the Medical SSP.
The signature page of the applications typically contain a release of information that can be sent to employers, landlords, etc. when the agency is attempting to obtain information on behalf of the consumer. For the times when the PDF application is not available in ImageNow and the workers are filling out the application via phone call with the consumer, how do we get this signature?
If there is a need for the release of information signature, the worker should generate the Authorization of Release of Information (V009) form via Document Control to send to the consumer.
NOTE: As a reminder for this scenario where the KEES Help Desk is unable to recover the PDF application, the client’s signature on the ‘worker completed’ application is not required for the application to be considered complete as the e-Application Summary page acts as the application signature.
If multiple instances of information are reported via the SSP, what order do the records display on the list page (such as newest-oldest, alphabetical, etc.)?
Some examples of when this could occur include:
An SSP application is registered but the consumer fails to complete the interview and the program is closed by a batch and 3 months later the consumer reapplies. The old ‘new’ records and the new ‘new’ records would both still be attached to the case.
The consumer applies for both medical and non-medical and both SSP applications have been linked to the case but not yet processed. On the shared data collection pages (like Contact Summary or Expenses) the ‘new’ records would display from both the non-medical application and the medical application.
Accenture is researching this to determine how these records display.
