Shared Data Reminder
Please refer to the attached document on the data elements that are shared between agencies. It is very important that data is not updated or deleted by staff as it has a negative impact to the other agencies programs when this is done.
Here is a recent example of data being changed/updated by staff:
On the Citizenship/Identity page, under the Identify Verification banner, cases are being updated from the source of Federal Data Hub that was verified by medical to a different source. This impacts eligibility for medical programs. If the source is Federal Data Hub, the source should NOT be changed. Non-medical staff should NOT alter the source, the only updates non-medical staff should be making to the Citizenship/Identity page are:
DCF uses the Non-Medical Identity Verified field to indicate that the consumer's ID has been provided. Non-Medical programs that require citizenship verification use the Individual Demographics page to record the information.
Existing values on this page should NOT be altered by DCF, with the exception of the Non-Medical Verified field
Medical Reviews
Over the weekend a data clean-up went into the system to fix 3700 medical programs. The clean-up updated the review due on the program to a future date. This clean-up was needed as a result of improper review processing and without it, the program would not be picked up again for a review and the members on the program would continue with coverage inappropriately. It is very important that reviews are processed correctly in order for KEES to update correctly and for the program to be picked up again to receive a review. Additionally, if this is done correctly clean-ups like this would not need to occur and other more significant issues could be addressed with the time spent by KEES staff instead of spending time addressing these issues. Attached is a K2K on review processing that was sent in the dispatch on 05/10/2018. This document outlines the key elements that a worker must use to process a review correctly and as a result avoid future fixes such as this.
Buy In Reminder
The Buy In Deletion Report will be available to eligibility staff on the 14th of each month, or the first working day following the 14th unless otherwise notified. The Buy In file will be sent to CMS early on the morning of the 21st. Since the 21st is on the weekend in October, this means the Buy In Deletion Report will need to be completed by 5:00 PM on the 19th as KEES does not send information to the MMIS on the weekend. Any cases newly authorized between the 14th and the 19th that qualify for immediate buy in, or cases that need the deletion to be removed from the CMS file, will need to have an email sent to the DXC Buy In team no later than 2:00 PM on the 19th so they can be manually processed. ksxix-buyin@dxc.com
