Select Case Info from Global Navigation. The Person Search page displays.
Select New Application from Local Navigation. The Registration Person Search page displays.
On the Registration Person Search page:
Enter the First Name in the text box.
Enter the Last Name in the text box.
Enter the 9-digit SSN in the Social Security Number text box with no dashes.
Enter the Date of Birth in the text box.
Click the Search button. The Registration Person Search Results displays with No Data Found.
Click the Add New Person button. The Registration Person Detail page displays with the KEES client ID.
Enter the KAECSES Client ID in the Alternate Client ID text box.
NOTE: The Alternate Client ID is used when the case is known to KAECSES and new to KEES. This is the only time the Alternate Client ID can be added to the KEES case. The Client ID is useful during Phase 3 conversion.
Click the Save and Continue button. The Case Member List page displays.
Click the Save and Continue button. The New Programs Detail page displays.
NOTE: The Case Name and Case Number displays in the center of the upper dark blue bar.
In the Administrative Roles section, select the consumer’s name (child) from the Primary drop-down menu.
NOTE: There are three administrative roles associated with a PPS Foster Care or Adoption Assistance Medical case.
Primary/Applicant/Recipient: Foster or Adoptive Child
Placement Provider: Foster Parent
PPS Payee: Adoptive Parent(s)
Enter the appropriate Date of Application in the text box using the <mm/dd/yyyy> format or the calendar icon.
Language defaults to English. Change if appropriate.
In the Program Information section, click the Add button. The Select Programs page displays.
Click the check box for Medical.
Click the Select button. The New Programs Detail page displays.
Click the Save and Continue button. The Pending Assignment List page displays.
In the Program Information section, select the check box for Medical.
In the Assignment Options section, click the radio button for Manual Assignment.
Click the Select button. The Select Worker page displays.
NOTE: PPS workers will assign a case to themselves. Searches can also be completed by partial name, worker ID or position title.
Enter the Last Name in the text box.
Enter the First Name in the text box.
Click the Search button. The Select Worker page displays with results.
Click the radio button for the worker’s name to which the case is to be assigned.
Click the Select button. The Pending Assignment List page displays.
In the Reassignment Option section, select No from the Automatically Reassign When Activated drop-down menu.
Click the Assign button. The Case Summary page displays.
NOTE: The Case Summary page now shows the data entered in the file clearance and registration process. To complete the process for establishing a case for PPS, a PPS ‘Requested Medical Type’ must be selected and the foster or adoptive parent needs to be assigned as an ‘Administrative Role’. The administrative role establishes the ability of the foster/adoptive parent to talk with the Managed Care Organization.
