This business process flow shows the high level steps utilized to process a Child Care Plan with more than 240 hours.
Complete the necessary data collection pages for Child Care including the Family Plan. If a Child Care plan has 240 hours or more in any given month then the Family Plan status changes to Approval Required.
Create a Journal Entry with the reason why the child needs 240 hours or more.
Create a Manual task for a supervisor to review the request using the following information:
Due Date: Set for 10 days
Received Date: Today’s Date
Region: Select user’s region
Location: Select user’s location
Queue: Supervisor
Task: Follow Up Needed
Task Details: Reason for Request
Claim the Follow Up Needed task from the Supervisor Queue, check the Journal to see why the request is being made.
To approve the request, click the Approve button on Family Plan – Child Care Plan Detail page. This updates the Family Plan status to Approved-Ready to Run. To deny the request, create a journal entry with the reason of denial.
Complete the task.
Create a Manual task for the Purple queue using the following information:
Due Date: Set for 10 days
Received Date: Today’s Date
Region: Select the user’s region
Location: Select the user’s location
Queue: Purple
Task: Change
Task Details: State if request was approved or denied
Claim the Change task and review the Task Details to determine if the request was approved or denied.
Update the Family Plan – Child Care Plan Detail page accordingly.
Determine eligibility by running EDBC.
Complete the task.
Consumers can receive over 240 hours per month for Child Care Assistance with Supervisor Approval as long as the child is not receiving care from a Relative Provider. Relative Providers cannot be authorized for more than 215 hours per month.
The ES-1606 Form: Request for Supervisory Approval-Child Care Exceeding 215 per Month is being retired. All requests and approval of excess hours are to be documented in the KEES Journal.
KEES calculates the number of child care hours according to the Parent and Child Schedules entered into the system. If KEES calculates more than 240 hours, and the request is denied, workers need to override the hours to reflect 240 hours or below.
