New Case Registration – LIEAP

Complete Person Search - LIEAP and Usable Case Number - LIEAP, prior to completing these steps. This process should only be followed if the consumer does not have a usable LIEAP Case Number or is not known to KEES. If a consumer has a usable LIEAP case number, see Existing Case Registration – LIEAP

NOTE: If the Case Head is known to KEES with no Usable Case and reports a new address, add the new address prior to completing New Case Registration - LIEAP.

End User should be cognizant of address begin and end dates. See Contact Summary – LIEAP for detailed information.

NOTE: If PII information provided is insufficient to identify a LIEAP applicant and all efforts to acquire the information exhausted only enter First Name, Last Name and Gender (required fields).  Every effort should be made to obtain missing information including searching KEES system.  Duplicate persons in the KEES system should be prevented. DOB and or SSN are not required for Registration.

To register a new case:

  1. Select Case Info from Global Navigation and New Application from Local Navigation. The Registration Person Search page displays.
  2. Enter all the consumer’s known information in the search criteria (First and Last Name, SSN, Gender, DOB). Click the Search button. The Registration Person Search Results page displays with a list of potential consumer matches.
  1. The Registration Person Detail page displays.
  2. Add the consumer’s address if the person was not previously known to KEES (follow the bullet points below). If the consumer is known to KEES and an address exists, skip to STEP 5.

NOTE: Always select the Normalized Address. Only select the User-entered Address if the Normalized Address is incorrect or the User-entered Address is the only one available.  

  1. If the consumer is known to an existing Case Number the Previous Case List page displays. Since a usable Case Number was not found during Person Search - LIEAP, click the Create New Case button.
  2. The Case Member List page displays.

NOTE: To remove a person from the application, while on the Case Member List page select the check box for the person’s name and click the Remove button. This removes the person from the case only, not from the KEES database. The person has already been added to KEES and assigned a Client ID number.

  1. When all applicants are registered, click the Save and Continue button.
  2. The New Program Detail page displays.

     NOTE: Once the New Program Detail page is saved, the chosen Primary Applicant displays as the Case Head.

NOTE: Do not click the Cancel button on the New Programs Detail page.  A case has been created. Clicking the Cancel button navigates to the Case Summary page without adding the LIEAP program or completing the worker assignment. See Troubleshooting Registration - LIEAP if this occurs.

  1. Click the Add button for the corresponding person in the Program Information block. The Select Programs page displays.
  2. Use the check box to select the LIEAP program.
  3. Click the Select button. The New Program Detail page re-displays.

    NOTE: If the wrong application date is entered during the Registration process, complete Registration and edit the application date from the Program Detail page. See Troubleshooting Registration - LIEAP for detailed instructions

  4. After all persons on the LIEAP application have been added to the program, click the Save and Continue button on the New Programs Detail page.
  5. The Pending Assignment List page displays.

  2. Complete the LIEAP Details and LIEAP Person Detail pages.  See LIEAP Detail - Priority Application, LIEAP Citizenship and LIEAP Disability.
