NOTE: To capture the e-mail and attachment the user has to set ImageNow Printer as their default printer.
Click the Start button on the desktop.
Click the Devices and Printers button.
The Control Panel Page for Devices and Printers opens. The user can view that the Default Printer selected is the local printer.
NOTE: Make note of the local printer name for use at the end of this process.
Right click on the ImageNow Printer icon. Additional options display.
Click Set as default printer to make ImageNow Printer the default printer. The printer icon displays a green check mark.
Click the Close button available on the top right hand corner of the page.
Log into KEES.
Navigate to the Case Summary page for the case associated to the documents.
NOTE: Ensure you are in the context of a case and on the KEES Case Summary page in order to auto-populate the Case Number and the Case Name in the following steps. Do NOT minimize the KEES Case Summary page. ImageNow is not able to read the IP Address if the page is minimized and an error displays.
Access ImageNow.
Set KEES Case - PPS as the default application plan. (See Setting Default Application Plan.)
Left click the drop-down caret for the Capture button on the Perceptive Content Toolbar.
Select Package Mode as the capture profile.
Outside of KEES, navigate to the e-mail being captured.
NOTE: An attachment is embedded in the e-mail.
Click the File tab on the top left corner of the screen.
Click the Print button. The Print Preview page displays.
Ensure the ImageNow Printer is the printer.
Click the Print Options. The Print dialog displays.
Click the “Print attached files. Attachments will print to the default printer only” check box under Print Options.
Click Print.
NOTE: The next two screens happen simultaneously.
The ImageNow Print window opens. Select IN Printer – Case No Task as the desired capture profile.
Before clicking OK on the ImageNow Print window, move your cursor to the window that has the Case Summary page open and click anywhere on the window.
Click the OK button.
NOTE: The second ImageNow Print window opens to capture the attachment.
The Opening Mail Attachment dialog box also displays.
Click the Open button.
The Enter Received Date dialog box displays with the current date auto-populated.
NOTE: The Default Date is the current date and the user can manually change the date if needed.
Click the OK button.
The Proposed Keys dialog box displays and is auto-populated with Case Number, Case Name, Received Date and Unique ID.
NOTE: The Case Number and Case Name is auto populated getting values from the KEES Case Summary page. The Received Date will also be auto populated based on the date entered in the Received Date pop up window. The user can also manually change the received date in the correct format <mm/dd/yyyy> on the proposed keys if needed.
Select PPS Forms document type from the drop-down menu.
NOTE: Using PPS Forms as an example.
Click the Capture button.
The ImageNow Viewer 1 window opens displaying the e-mail.
The Document Keys also displays on the right side on the ImageNow Viewer.
NOTE: The user can change the Document Type and the Received Date on the Document Keys if needed.
The ImageNow Print window opens. Select IN Printer- Case No Task as the desired capture profile.
Click the OK button.
NOTE: The second ImageNow Print window opens to capture the attachment.
The Enter Received Date window opens. Enter the Received Date.
NOTE: The Received Date auto populates to the current date. The user can manually change the received date if needed.
Click the OK button.
The Proposed Keys window opens.
NOTE: The Case Number and Case Name is auto populated getting values from the KEES Case Summary page. The Received Date is auto populated based on the date entered in the Received Date window. The user can also manually change the received date in the correct format <mm/dd/yyyy> on the proposed keys if needed.
Select PPS Forms from the Document Type drop-down menu on the Proposed Keys.
Click the Capture button.
The Perceptive Content Viewer window opens displaying the Attachment.
The Document Keys also displays on the right side on the Perceptive Content Viewer.
NOTE: The user can change the Document Type and the Received Date on the Document Keys if needed.
Two Perceptive Content Viewers are open in a separate windows. Perceptive Content Viewer 1 displays the e-mail and Perceptive Content Viewer 2 displays the attachment. The Documents Keys for both the documents are the same and are auto populated from the KEES Case Summary page.
NOTE: Both the documents are indexed to the same Case Number and the Case Name.
Click the Save icon available on both Perceptive Content Viewers. The Perceptive Content Viewers close and the documents are indexed to the appropriate Case Number.
NOTE: The following steps below set the default printer back to the local printer.
