Person Level Indexing Personal Identifying Information (PII)

 

Assigning a document to the person level allows a user to move selected pages from a generic document type to a document type that is more specific. Also it allows a user to attach the individual's name to the document that it belongs to. These steps are applicable for the second level indexing process.

NOTE:  For Phase 2, the Indexing eForm is only used for KEES Medical Cases.  For Non-Medical Cases, Copy Document functionality is used to split the imaged document.

Within the context of a case:

  1. Access Perceptive Content.

  2. Search and Open the original Personal Identifying Information document in the Perceptive Content Viewer. See Retrieve Documents for detailed steps.

  3. Open the KEES Indexing eForm by selecting View/Forms or Hit (F12).

  4. Enter the designated page range in the Pages field.

NOTE: The user must start with page 1 and specify where all pages of the document should live. For example, if the original document is 16 pages and the user wants pages 8-16 to be created as a new document, the user must first enter pages 1-7 in this field.

  1. Select the appropriate Doc Type values for each set of images to be indexed to the person level.

  2. Click on the magnifying glass next to Selected Case Member Information. The Case Member Search window displays.

  3. Click on the case members who you wish to index the document to. Click the OK button. The Case Member Search window will disappear and the documents will display at the bottom.

  4. Select the Copy button on the eForm if you have more than one document to re-index. If you only have one page to assign to the person level continue to Step 9.

NOTE: If you have more pages to split and assign to the person level repeat steps 4, 5, 6 & 7 until all pages are split and assigned to the person level.

  1. Select the eForm Submit button to assign these images to the person level of the designated page range from the original document.

  2. A pop up window displays - “Are you sure you want to route this document forward in workflow to the KEES Doc Reindex Queue?” Click the OK button.

  3. The eForm disappears and Perceptive Content begins to split the documents.
