Image PPS Email & Attachment

NOTE:  To capture the e-mail and attachment the user has to set Perceptive Content Printer as their default printer.

  1. If Perceptive Content is not the user’s default printer, complete the following steps. Otherwise, continue to STEP 2.

    1. Click on the Start icon in the lower left corner of the monitor. The Start Menu displays.

    2. Select Devices and Printers. The Devices and Printers window opens.

      NOTE: Make note of the local printer name for use at the end of this process.

    3. Locate the Perceptive Content Printer and right click on the icon.

    4. Select Set as default printer. The Perceptive Content Printer now displays with a green check mark to indicate it is the default printer.

    5. Close the Devices and Printers window.

  2. Access KEES.

  3. Navigate to the Case Summary page for the case associated to the email and attachment(s).

    NOTE: The user must be in the context of a case and on the Case Summary page in order to auto-populate the Case Number and the Case Name in the following steps. Do NOT minimize the Case Summary page. Perceptive Content is unable to read the IP Address if the page is minimized and an error displays.

  4. Access Perceptive Content.

  5. Set KEES Case - PPS as the default application plan. See Setting Default Application Plan for detailed steps.

  6. Set Package Mode as the default capture profile. See Setting Default Capture Profile for detailed steps.

  7. Open to the email to be captured.

  8. Click the File tab on the top left corner of the email then select Print from the menu. The Print Preview page displays.

  9. Ensure ImageNow is selected as the printer.

  10. Click the Print Options button. The Print dialog box displays.

  11. Click the “Print attached files. Attachments will print to the default printer only” check box under Print Options.

  12. Click Print.

    NOTE: The next two steps happen simultaneously.

  13. The ImageNow Print window opens. Select IN Printer – Case No Task from the Capture Profile drop-down menu. Click the OK button.

  14. The Opening Mail Attachment dialog box also displays. Click the Open button.

  15. The Enter Received Date dialog box displays. The date in the Enter Received Date dialog box defaults to the current date and can be manually changed if needed.

  16. Click the OK button.

  17. The Proposed Keys dialog box displays and auto-populates with Case Number, Case Name, Received Date and Unique ID.

    NOTE: The Case Number and Case Name auto-populate with values from the Case Summary page. The Received Date also auto-populates based on the date entered in the Received Date pop up window. The user can also manually change the received date in the correct format (MM/DD/YYYY) on the Document Keys if needed.

  18. Select the Document Type from the drop-down menu. See DCF Imaged Forms Desk Aid for guidance on Document Type selection.

    NOTE: The user may have to scroll through the entire list as all values may not be alphabetized.

  19. Click the Capture button. The Perceptive Content Viewer window opens displaying the document.

  20. Two Perceptive Content Viewers open in separate windows.

  21. Review the images of the documents for clarity and verify the accuracy of the Document Keys for both Perceptive Content Viewer windows.

    NOTE: If document is not readable, see the Image Unreadable steps in Troubleshooting for Imaging.

  22. Click the Submit icons on the bottom of both Perceptive Content Viewer windows. The Perceptive Content Viewer windows close.

  23. If ImageNow Printer is not the user’s typical default printer, change the default printer back:

    1. Outside of Perceptive Content, click the Start icon in the lower left corner of the monitor. The Start Menu displays.

    2. Select Devices and Printers. The Devices and Printers window opens.

    3. Locate the local printer and right click on the icon.

    4. Select Set as default printer. The local printer now displays with a green checkmark to indicate it is the default printer.

    5. Close the Devices and Printers window.

    Set the Default Printer Back to the Local Printer

    1. Outside of Perceptive Content, click the Start button on the desktop.

    2. Click the Devices and Printers button.

    3. The Control Panel page for Devices and Printers opens. The user can view that the Default Printer selected is the ImageNow Printer.

    4. Right click on the Local Printer icon. More options display.

    5. Click Set as default printer to make the local printer the default printer.  The printer icon displays a green check mark.

    6. Click the Close button on the top right corner of the page.
