Image Unknown Case Documents - DCF

  1. Access Perceptive Content.

  2. Left click the drop-down caret next to the Applications button on the Perceptive Content toolbar.

  3. Set KEES Unknown Case - DCF as the default application plan. See Setting Default Application Plan for detailed steps.

  4. Set Package Mode as the default Capture profile. See Setting Default Capture Profile for detailed steps.

  5. Click the Capture button on the Perceptive Content toolbar to initiate the scanning process. The Perceptive Content Viewer - Package window and the Type Last Name Here dialog box display.

  6. Enter the Last Name of the consumer associated to the document as Office Location + Last Name, e.g. enter Topeka Jones if the document was received in Topeka and the consumer’s last name is Jones. If the consumer’s last name is not known, the user is to enter Office Location + Unknown, e.g. enter Topeka Unknown if the document was received in Topeka. Click the OK button.

  7. The Enter Received Date dialog box displays. The date in the Enter Received Date dialog box defaults to the current date and can be manually changed if needed. Click the OK button.

  8. On the Perceptive Content Viewer - Package window, the Document Keys auto-populates with Last Name and Received Date.

    NOTE: The Last Name auto-populates based on the name entered in the Type Last Name Here dialog box. Received Date auto-populates based on the date entered in the Enter Received Date dialog box. The user can manually change the received date in the correct format (MM/DD/YYYY) on the Document Keys, if needed.

  9. Enter the First Name of the consumer associated to the document as Office Location + First Name, e.g. enter Topeka Jennifer if the document was received in Topeka and the consumer’s first name is Jennifer. If the consumer’s first name is not known, the user is to enter Office Location + Unknown, e.g. enter Topeka Unknown if the document was received in Topeka.

    NOTE: The SSN and Fax Number/Email Address fields should not be required fields. If Perceptive Content requires this information, enter N/A so the document can be captured.

  10. Verify all document types are visible on the left side of the Perceptive Content Package Mode dialog box under Case – No Task.

    NOTE: The displayed list may need to be minimized by clicking the minus sign to the left of KEES Applications then clicking the plus sign to the left of Case – No Task to expand the list.

  11. Select the Document Type from the list. See DCF Imaged Forms Desk Aid for guidance on Document Type selection.

  12. Load all the consumer’s paper documents into the scanner. Click the Capture icon on the bottom of the Perceptive Content Viewer - Package window. The scanner should be invoked and start to scan the document(s).

  13. The scanned document(s) images directly into the document type selected and displays in the Perceptive Content Viewer window. Review the images of the documents for clarity.

    NOTE: If document is not readable, see the Image Unreadable steps in Troubleshooting for Imaging.

  14. If additional documents associated to the same case but belonging to a different document type were submitted, click the thumbnail image(s) to drag and drop all other documents to their appropriate Case – No Task document type(s) which automatically changes the Document Type on the Document Keys.

  15. Enter any Notes as appropriate for each document type.

  16. Verify the accuracy of the Document Keys for each document type.

  17. Click the Submit icon on the bottom of the Perceptive Content Viewer - Package window. The Perceptive Content Viewer window closes.
