New Case Registration - PPS

Complete a thorough Person Search, prior to completing these steps.  This process should only be followed if the child is not known to KEES or if the child does not have a usable case number. If a child has a usable case number see: Existing Case Number Registration - PPS.

To Complete the New Case Registration Process

  1. Select Case Info from Global Navigation and New Application from Local Navigation. The Registration Person Search page displays.

  2. Enter all of the consumer’s known information in the search criteria on the Registration Search page.

    Example: First Name, Middle Initial and Last Name, SSN, DOB, Gender, Aliases

  3. Click the Search button.  The Registration Person Search Results displays with a list of any potential consumer matches.

    • If the appropriate consumer is found, click the radio button for their name.  Click the Use Selected Person button.

    • If the appropriate consumer is NOT found, click the Create New Person button.

    The Registration Person Detail page displays with the KEES Client ID.

  4. Complete all required fields.

  5. Click the Save and Continue button. The Case Member List page displays.

    NOTE:  PPS cases have only one person listed.  If the child is added more than once or another person is added while on this page, the user can remove the person that was added by selecting the check box for the person’s name and then click the Remove button. It is important to remember that this only removes the person from this particular case. The person has already been added to KEES and assigned a Client ID.

  6. Click the Save and Continue button again.  The New Programs Detail page displays.

  7. Complete the Administrative Roles section:

    • Select the child from the Primary drop-down menu.

    • Enter the Date of Application using the <mm/dd/yyyy> format or the calendar icon.

    • Spoken Language defaults to English. Change if needed.

  8. Click the Add button in the Program Information section to navigate to the Select Programs page.

    NOTE: Do not click the Cancel button on the page. At this point, a case has been created. Clicking the Cancel button navigates the user to the Case Summary page without adding any programs or completing the worker assignment. See Troubleshooting File Clearance and Registration.

  9. Select the check box for program(s) requested.

  10. Click the Select button. The New Programs Detail page displays.

    NOTE: Multiple programs can be added from this page at one time.

    • Foster Care - select Foster Care Program and Medical

    • ICPC/ICAMA - select Medical only

    • Private Adoptions- select programs identified on the Adoption Assistance Agreement

    • DCF Adoption, Permanent Custodianship Subsidy and Youth Independent Living Subsidy Program blocks will be added to an active Foster Care case.

    • PPS Vendor Payments (VenPay) will be added to the specific PPS case or a non-medical EES case for Family Services or Adult Protective Services

  11. The New Programs Detail page displays with the programs selected. Once all programs have been selected click the Save and Continue button. The Pending Assignment List page displays.

  12. Select the check boxes in the Program Information section on the Pending Assignment List page.

    NOTE: Workers can be assigned to multiple programs at the same time, if applicable. Different workers can be assigned to a specific program block. If assigning two workers to two different program blocks, each assignment must be completed separately.

  13. Click the radio button for Manual Assignment in the Assignment Options section. The Select button dynamically displays. PPS cases are assigned to a specific caseload.

  14. Click the Select button. The Select Worker page displays.

  15. Enter search criteria (such as Name, Worker ID, etc.). Click the Search button. The Select Worker page displays.

  16. Click the radio button for the name of the Worker.  Click the Select button. The Pending Assignment List page displays.

  17. The Automatically Reassign When Activated drop-down menu defaults to Yes.

    NOTE: This is a baseline element and is non-functional in KEES.

  18. Click the Assign button.  The Case Summary page displays. Repeat process to assign a worker to a different program block, if needed. The registration process is now complete.

    NOTE:  The Case Summary page displays the Name and Case Number in the upper section of the page. It also displays the program details for each program on the case.

  19. Complete each program block as required. Information required varies from program to program. Primary Applicant/Recipient, Worker Assigned, Application Date, Status, Administrative Role of Placement Provider or PPS Payee.

  20. Proceed to Non-Financial Data Collection - PPS when each program block is completed.
